Senior Manager – Engagement & Logistics

As Senior Manager, Engagement & Logistics within the Global Operations team, you’ll play a critical role in how we deliver client and stakeholder interactions worldwide. This role combines logistics excellence and compliance – ensuring every advisory board, expert panel, congress, capability-building programme, and engagement is planned, executed, and governed to the highest standards.

You’ll lead the strategy, execution, and governance of engagement activities – building consistency, visibility, and confidence across the organisation. You’ll also design and embed frameworks, SOPs, and systems that make these engagements seamless, compliant, and future-ready. Importantly, you’ll lead a team of 5+ engagement professionals located across multiple countries, ensuring global coordination, local nuance, and shared excellence.

Role Responsibilities & Requirements
Advisory Boards, Expert Panels & Primary Research
- Lead the end-to-end planning, logistics, and delivery of advisory boards, expert panels, and primary research interviews in partnership with consulting and account leads.
- Oversee stakeholder identification, recruitment, contracting, and invitations – ensuring GDPR, informed consent, and BHBIA compliance.
- Manage and coordinate vendors across recruitment, logistics, and transcription to ensure consistency and scalability across the organisation.
- Ensure robust processes for briefing packs, technology checks, evidence capture, facilitation logistics, and post-engagement reporting.
- Maintain central visibility of planned and in-flight engagements, harmonising activities and avoiding duplication.
Congresses & Industry Events
- Direct cross-functional teams in planning and executing Herspiegel Group’s global congress and industry presence.
- Support BD and consulting teams with structured logistics, scheduling, and client engagement at congresses.
- Manage attendee objectives, pipelines, and follow-up planning to maximise commercial and reputational outcomes.
- Coordinate collateral, briefing materials, and digital content for maximum impact.
Engagement Capability Programmes
- Oversee the design and delivery of programmes such as Collaborative Negotiation Workshops, Mock Negotiations, Rebel Thinking Workshops, and other strategic workshops.
- Partner with consulting and People teams to embed programmes into client delivery and internal development.
- Create scalable playbooks, templates, and repositories to enable repeatable delivery.
Centralised Operations, Vendor Management & Integration
- Act as the central hub for Engagement & Logistics across Herspiegel, FIECON, and Decisive.
- Own and govern the master KOL and Expert Panel lists with clear access and governance controls.
- Manage vendor relationships across logistics, venues, travel, and technology, including contracting and performance reviews.
- Develop and continuously improve SOPs, RA(S)CI, compliance frameworks, and templates for all engagement types.
- Introduce automation tools to optimise event planning, outreach, contracting, and recruitment tracking.
- Maintain dashboards and reporting to provide visibility into pipelines, KPIs, costs, and risks.
- Provide training, knowledge-sharing, and process adoption support across delivery teams.
- Partner with Consulting, BD, Marketing, Legal, Finance, and People to align objectives, budgets, compliance, and resourcing.

Qualifications & Experience
Essential
- 6+ years’ experience in engagement management, operations, or consulting within life sciences or professional services.
- Strong leadership experience, including managing and developing teams of 5+ across multiple countries.
- Experience navigating and succeeding in a matrix environment.
- Strong experience designing and executing advisory boards, expert panels, KOL research, or industry events.
- Proven track record developing SOPs, compliance frameworks, and operational best practices.
- Skilled at translating ambiguity into structured processes and scalable delivery.
- Excellent written and verbal communication skills.
- Life sciences industry background/knowledge.
Desirable
- Experience in acquisition/integration or scaling organisations.
- Operations experience in a global or professional services setting.
Logistics
- Must be eligible to work in the UK or EU.
- Hybrid work model, with offices in London, Paris, and Hamburg.
- Permanent, full-time role. Flexible working.
- Willingness to travel internationally for advisory boards, congresses, and client engagements.
